It also explains how to contact us about your information.

2. Information we collect
- Contact and professional details: your name, telephone number, email address, company or organisation, designation and business contact details that you provide.
- Enquiry and project information: your area of interest, requirement or project details, location, scope, timelines and other information you choose to share when requesting a quotation, demonstration, technical consultation or business discussion.
- Communications: information contained in correspondence through email, telephone, WhatsApp or other channels you use to contact us, and records needed to manage the enquiry and subsequent relationship.
- Website and technical information: where collected by the website or enabled services, IP address, browser and device information, pages visited, referring sources, interactions and submission metadata used for website operation, security, analytics or advertising measurement.
Please provide accurate information and only share another person’s details if you are authorised to do so. Do not include passwords, financial account credentials, government identity documents, sensitive personal information or confidential project material in a general enquiry or lead form. We can discuss an appropriate channel if further documentation is needed.
3. Website forms and Meta Instant Lead Forms
Our website contact and enquiry forms collect the fields displayed in the form to help us understand and respond to your requirements. Required fields are identified in the form. If you do not provide the necessary details, we may be unable to respond or prepare a useful proposal.
When you submit a Vedabytes Facebook or Instagram Instant Lead Form, we receive the information you submit, including contact details and answers to the questions shown in that form. Some fields may be pre-filled by Meta; please check them before submitting. We use the lead information to respond to the advertised offer or your enquiry, assess your requirements and follow up about relevant Vedabytes solutions.
Meta separately processes information on its platforms under its own privacy policies and settings. This policy describes Vedabytes’ handling of the lead information we receive. Submitting a lead form is not permission for unrelated uses of your information.
4. Why we use your information
- Respond to customer and business enquiries and arrange telephone, email, WhatsApp or other requested follow-up.
- Understand requirements, assess technical feasibility, prepare quotations and proposals, and provide technical consultations.
- Coordinate suitable products, OEM input, technology partners, demonstrations, integration and project delivery.
- Manage customer relationships, service communications and records relating to agreed engagements.
- Operate, secure and improve our website, prevent spam or misuse, and understand website and campaign performance where the relevant tools are enabled.
- Meet applicable legal obligations and address disputes or legitimate business claims.
We rely on your consent where required, including consent provided through the relevant form or interaction, and other processing grounds permitted by applicable law. We seek any additional consent required for a new purpose. For optional promotional communications, you may opt out at any time by emailing us or using an available unsubscribe mechanism. Withdrawal does not affect the lawfulness of processing already carried out.
5. When information may be shared
We may share relevant information with people and organisations who need it for the purposes described above:
- OEMs and technology partners: necessary business contact and project information to assess requirements, obtain technical input or quotations, arrange demonstrations and support agreed solutions. The information shared should be limited to what the activity needs. Where a partner processes information independently, its own privacy policy may also apply.
- Service providers: providers supporting website hosting, forms, email delivery, communications, storage, security, analytics or advertising measurement, where used. Their access and processing depend on the service and its applicable terms.
- Professional advisers and authorities: where reasonably necessary for legal or regulatory obligations, protection of rights, dispute resolution or a lawful request.
Any additional sharing or use requiring your consent will be subject to that consent. Third-party services may process information outside India; any transfer must be handled in accordance with applicable Indian requirements and restrictions. We do not claim that all service-provider systems or stored information are located in India.
6. Cookies, analytics and Meta Pixel
The website may use cookies and similar technologies for essential functionality, security, performance and, where enabled, analytics and advertising measurement. These technologies may collect technical information and interactions with the website.
Where Meta Pixel or related measurement tools are enabled, website events such as page views or an enquiry-completion event may be sent to Meta to measure advertising performance and, depending on the configuration and applicable choices, support relevant advertising. This policy does not mean that every available tracking feature is enabled. Analytics and advertising processing is subject to the tools actually used and any consent required by law.
You can manage cookies through your browser settings and use website privacy controls where available. Disabling cookies may affect some functionality. You can also manage advertising preferences through the relevant platform’s settings. Changes to browser settings do not necessarily control every form of server-side processing or information you submit directly.
7. Storage and security
Information may be stored in enquiry records, business email, communications and website or service-provider systems used to manage our work. We aim to apply reasonable technical and organisational safeguards appropriate to the information, including limiting access to authorised people and protecting systems against unauthorised access, loss or misuse.
No internet transmission or storage system can be guaranteed completely secure. If you believe information you supplied has been compromised, please contact us promptly. We will handle security incidents and any required notifications in accordance with applicable law.
8. Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including enquiry follow-up, quotation and project records, customer support, applicable record-keeping obligations and the establishment or defence of legal claims. Retention depends on the type of record, the business relationship and legal requirements.
When information is no longer needed, it should be deleted or anonymised, subject to lawful retention requirements and normal backup cycles. If you request deletion, we will explain any relevant limits where information must be retained.
9. Your choices and privacy requests
You may contact info@vedabytes.in to ask about your information, request access or a summary, correct inaccurate details, request deletion, withdraw consent, stop optional marketing or raise a privacy concern. Rights and available remedies depend on the applicable law and the provisions in force. Where applicable, this includes rights under India’s Digital Personal Data Protection framework, such as grievance redressal and nomination.
Please tell us the contact details used for your enquiry and the nature of your request. We may need proportionate verification of your identity or authority before disclosing or changing information. Do not send identity documents unless requested through an appropriate channel. We will address requests within the time required by applicable law. Withdrawal or deletion may limit our ability to continue an enquiry or service; legally required records may still need to be kept.
If you are dissatisfied with our response, you may use the complaint or redress mechanisms available under applicable law, including the competent authority where its jurisdiction and the relevant provisions apply.
10. Children and third-party links
Our website and business lead forms are intended for professional and organisational enquiries, not for children. If a child’s information has been submitted, please contact us so we can assess and take appropriate action under applicable law.
Links to third-party websites and services are governed by their own policies. We do not control their privacy practices.
11. Applicable Indian requirements
Our handling of personal information is subject to applicable Indian law, including the Information Technology Act, 2000 and relevant rules where applicable, and the Digital Personal Data Protection Act, 2023 and Digital Personal Data Protection Rules, 2025 to the extent applicable and in force. The DPDP framework has phased commencement. Relevant obligations and rights apply according to their commencement and applicability.
12. Updates and contact
We may update this policy when our practices or applicable requirements change. The latest version will appear on this page with an updated date. Where required, material changes will be notified and additional consent sought.
